Most onboarding sets up the software. Not the business.
Set up the vendor's way
Default stages and properties that don't match how your team sells, so people work around HubSpot.
Dirty data, imported fast
Duplicates and old records brought in as-is, and nobody trusts the CRM from week one.
Other systems left out
ERP, accounting or field software never connected, so the team keeps two sets of books.
Reports built last
Dashboards added after go-live, on fields nobody fills in, so leadership never sees the numbers they bought it for.
AI with nothing to read
Breeze and the Customer Agent switched on before your products, pricing and answers are in HubSpot.
Training on buttons
A tour of today’s menus. Next quarter the screens change, and the team is stuck again.
We set up what HubSpot needs to know, before the Hubs.
Reporting, automation and AI all run on the same three things. Get them right in onboarding and every Hub works better from day one.
Your data
Duplicates merged, fields standardized and companies, contacts and deals tied together before anything is imported.
Your knowledge
Products, pricing, FAQs and playbooks loaded into HubSpot, so Breeze and the Customer Agent answer like your team.
Your rules
Lifecycle stages, deal stages, handoffs and owners written down once and used by every Hub and every report.
On the last day, your team runs HubSpot with AI.
Onboarding ends with a working session: your admin builds each of these on their own, with Breeze Assistant or the AI tools you already use, and checks the result. If something isn’t solid yet, we keep going.
Create properties the right way
Ask Breeze Assistant for the field, then check it against your naming rules and owners, so AI doesn’t fill the portal with duplicates.
Build a workflow from a sentence
Describe what should happen, let AI draft it, then test it on real records before it goes live.
Ask for a report, then check it
Get the report in plain English, and know which numbers to spot-check before leadership sees it.
Run and tune your agents
Breeze agents answering from your own knowledge, with the review steps that keep them accurate.
Use the AI tool you prefer
Microsoft Copilot in Teams, Claude, ChatGPT or Grok, connected to HubSpot with the right permissions, to run HubSpot and run your business on it.
Spend credits where they pay off
What AI work costs in HubSpot credits, and which jobs are worth it, so the pool doesn’t run dry mid-month.

- Weeks 3–4 · Working in HubSpotYour team is working in HubSpot and getting value while we keep building.
- Weeks 5–8 · AgentsYour first Breeze agents go live on your own knowledge, with the review steps that keep them accurate.
- Last week · HandoffYour admin builds a property, a workflow, a report and an agent with AI, and checks each one. You keep the prompts and playbook we used.

What onboarding with Pivot is like.
Pivot has helped us with a full implementation and onboarding for all three HubSpot hubs; service, sales, marketing. They worked with our team to develop a custom structure while maintaining some legacy processes — ensuring faster adoption.
Jane, Christa, and their team made our initial dive into HubSpot so easy — always there for help. They were always helping us look at processes overall, training and supporting the marketing and sales team to adopt better HubSpot habits.

HubSpot Onboarding
Context first, then each Hub, with training. Most teams are working in HubSpot in 3–4 weeks.
Estimate my onboardingWhat you'll want to know.
How long does onboarding take?
Most teams are working in HubSpot in 3–4 weeks and running it with AI by the end. A single Hub takes 4 weeks at Essential and up to 8 weeks at Comprehensive; the Customer Platform takes 8 to 12 weeks. Integrations and data cleanup can add time, so we get the core setup done first and your team starts getting value, then connect the rest.
What does onboarding cost?
From $2,500 for a single Hub. Each Hub has three levels, up to $5,000. Onboarding every Hub together as the Customer Platform starts at $10,000 and includes up to three marketplace integrations. It costs more than a setup-only onboarding because your team leaves able to run HubSpot with AI, not just log in. Enterprise adds $1,500 per Hub for the extra setup. Each additional team (its own permissions, presets and training) is $750, each additional pipeline is $500, and each marketplace app is $500. Custom integrations and AI agent building are quoted separately.
Which Hubs and tiers do we need?
Start with the . We'd rather you start with what you need and grow into more.
Can you move our data from another CRM?
Yes. We clean it before it moves and check the counts after. Coming from Salesforce, Zendesk, Freshdesk, Intercom, Marketo or Pardot? See what moves and how long it takes.
Do we need to be technical to use AI in HubSpot?
No. Your team learns to describe what they want in plain English and check what comes back. The skill is knowing what good looks like, and that’s what we teach.
Which AI tools do you teach?
Whichever one your team prefers. Breeze Assistant and Breeze agents are built into HubSpot, and Microsoft Copilot (including in Teams), Claude, ChatGPT and Grok all connect to it. We set up your preferred tool with the right permissions, then teach your team to use it to run HubSpot and to run your business on HubSpot. We teach habits, not menus, so the skills last when the screens change.
Does it work with Microsoft Copilot and Teams?
Yes. HubSpot’s connector for Microsoft 365 Copilot lets your team ask about deals, contacts and tickets from Copilot, including inside Teams, and each person only sees what they can see in HubSpot. It needs Microsoft 365 with Copilot turned on, and your Microsoft admin adds it once. HubSpot still lists it as a beta. We set it up during onboarding and show your team when to use Copilot and when to use Breeze.
Won’t AI make a mess of our portal?
Not with rules in place. Before your team builds anything, we set naming rules, property owners and permissions, and teach one habit: draft it, check it, then turn it on.
What about our HubSpot credits?
Credits come with Professional and Enterprise subscriptions, and AI work uses them. We plan what to spend them on during onboarding and show your team what each kind of AI work costs, so they go to the jobs that save the most time.
We're already on HubSpot. Can you onboard us again?
Yes, when the first setup never fit or you're adding a Hub. Start with a free instant audit so we know what to keep.
What happens after go-live?
Teams that pass the handoff can move to Self-Run, $1,500 a month: we monitor the portal, review what your team builds with AI and keep your agents tuned. Teams that want us to do more of the work move to a full HubSpot Admin Subscription.
